Create and Manage Classes

Classes are created and managed to allow children to be booked in to and attend the centre. They are made up of the group of children who have contracts for that class. Found within the Centres area of the menu, select Classes to view the full list for that centre.

 

If you have access to multiple centres, you can change the filter to view other available centres.

Adding a new Class

 

Select + Add Class. Mandatory information is indicated with an asterix and is required to be completed in order to be saved.

 

Class information

  • Add the class name
  • Select or create a Space this class is usually located in
  • Select a colour for your class
  • Select the Care Type: ASC; BSC; VAC; LDC; No Subsidy
  • Add the Start date: No end date means the class is Ongoing
  • Select the Start Time and End Time
  • If this is an LDC class with a pre-school program, tick the indicator

 

Regulation

 

Regulation information is mandatory and has been compiled from state specific regulation requirements. 

 

  • State is automatically selected according to the information in the centre profile
  • Select the age range for the class
  • In the Override box, enter the total capacity for the class 

 

The pre-populated information regarding ages and ratios can be overwritten according to your own centre preferences.  If the age ranges or ratios need to be different to the selected regulation entries, tick yes to override the settings and enter the information manually.

 

Class Assignment 

 

If you utilise the Employee features in KT, you can assign one or more educators that are usually responsible for the class under Class Assignment.

 

You must Save the class before you will be allowed to set default fees. After the class has been saved, click on your class in the class list to go back in and enter default fees. 

 

Default Fees 

 

 

To set your default fees for the class, dropdown to select an existing fee or select Add Fee to add a new one. Once created, drop down the fee boxes again to link the new fee to your class.

 

Select Save and the Class will be saved to the existing list of classes for the centre.

 

Notes:

  • Homeroom (Space) is the space where the class is located most of the time eg. The Hall, Nursery
  • A new space can be created while creating a new class
  • The Save option will only appear once all of the required fields are completed
  • A new fee can be created and linked while creating a new class

 

Manage an existing class

 

From the Classes list screen, click on the specific class you want to manage.

 

All information populated for that class when it was created will be displayed and can be edited.

 

Although the information can be edited, it should be noted that this may have an impact on historical information.  Any non-mandatory fields that did not have information entered at the time of creation can be entered and saved.
