Understanding Record Keeping Permissions

Default values have been set for the existing roles of Account Owner, Administrator, Manager, Assistant Manager and Staff based on their hierarchy. Using the defaults as a starting point you can then add more permissions, downgrade or remove access depending on the role.

Within the Settings menu, select Roles and Permissions, then View on the particular role you want to edit.

Record Keeping Permissions

Attendance Main

Attendance feature access, child schedules, sessions and class occupancy metrics

Need: Access to 'Fees' permission (read-only and above)

Need: Access to 'Family Account Main' permission for Create level (read-only or above)

Read-only: Can view Attendance screen ('Times' only)

Edit	Create	Delete
Edit existing attended sessions	Add Sessions	Remove sessions

Bus Roster

Bus Roster feature access

Need: Access to 'Fees' permission (read-only and above)

Need: Access to 'Family Account Main' permission for Create level (read-only or above)

Read-only: Can view Attendance screen ('Times' only)

Edit an existing Roster	Add Bus Roster	Same as Create

Child Check In/Out

Manage child check in/out, absences and session details

Need: Access to 'Attendance Main' permission (Create level and above)

Need: Access to 'Fees' permission (read-only and above)

Read-only: Can view Attendance screen ('Times' only) - can mark child as Absent/clear Absent

Edit	Create	Delete

Enrolment Main

Enrolment metrics, occupancy details and availability access

Need: Access to 'Classes' permission (read-only and above)

Read-only: Can view Enrolment > Dashboard; Enrolment > Management

Enrolment Contracts

Child enrolment management, class assignments and fee assignments

Need: Access to 'Family Account Main' permission (read-only and above)

Read-only: Can view Families > Accounts - Active, Future and Expired Contracts

Lead Management Main

Manage enrolment leads and make offers
