End of Care

End of Care refers to the sessions at the end of a child's time in care at a centre. CCSS does not pay any subsidies on absent days at the end of care. 


Children will show in the End of Care screen if the last sessions linked to the child were marked as absent, and these absences fall beyond two weeks in the past. They will stop displaying on the End of Care screen by 14 weeks, as by this time CCSS will have ceased the child's enrolment and recovered any CCS paid on the account. 


We recommend only removing or updating the absent sessions once you know the child is not returning to the centre. Once you have completed this action, it may be best practice to go and cease the child's CCS enrolment. 


To navigate to the End of Care screen, select End of Care from the Subsidies menu.

Active End of Care Sessions


This screen displays an overview of active End of Care sessions for children within your centre. Here you can view the Total Due - the total subsidy amounts that are potentially owed, Accounts - number of accounts that potentially owe money due to End of Care, and Sessions - the number of sessions that make up the Total Due amount.


Children with Ceased enrolments will no longer appear on this screen as CCSS will recoup the CCS from any absent days as part of their enrolment process.


Actions on End of Care Sessions

There are three actions that can be taken on End of Care sessions showing in the Active tab.


  • Hide
    You may want to hide sessions from the active End of Care screen if they are on holidays, and you know they will be returning to the centre.

    You can hide a child's End of Care sessions by selecting the session, then selecting the Hide button. You will need to confirm your decision by selecting Hide. This will hide the sessions from the Active tab, and move them to the History tab. The sessions will be hidden for two weeks from the Sunday of this week. 

    These sessions will automatically return to the Active screen if the child still has not attended the centre within that time. 


  • Update to Full Fee
    You can update these sessions so the account will be charged the full fee. To do this, select the sessions that you want to update to full fees by checking the check box on the left hand side of the sessions. Then select the three dots, and select Update session to full fee. You will need to confirm your decision by selecting Update.
    Please Note: This will trigger a Withdrawal or Vary of the child's session reports to CCSS for the affected weeks. Please be aware of any sessions that fall within a prior CCS Financial Year, as these are unable to be resubmitted to CCS without a dispensation.


  • Remove Sessions
    If you do not want an account to be charged full fees for their absent sessions at the End of Care, you have the option to remove these sessions. To do this, select the sessions that you want to update to full fees by checking the check box on the left hand side of the sessions. Then select the three dots, and select Remove Session(s). You will need to confirm your decision by selecting Remove. This will trigger a Withdrawal or Vary of the child's session reports to CCSS for the affected weeks. 


History

The history tab displays the Action types that have been selected for the child's absent sessions from the Active tab: Hide, Charge full fee, Void. The action type Show will also be displayed. Show indicates the record was hidden, but the date it was hidden until has passed. The sessions will now show on the Active tab again.


Here you will also see the who actioned the sessions, and the date the action was completed.


You can view action history for a child's sessions by selecting the session, then selecting View History at the bottom of the child's session. A box will appear detailing the history of the session/s. 

If you have hidden a session and want it to show again, you can select the session and then select the Show session button. You will need to confirm your decision by selecting Show session. The session will then appear in the Active tab of End of Care.
